Administration
Under the motto "Service for Science," the administrative departments at DKFZ support scientists with a comprehensive and continuously evolving range of services. They respond to the demands of modern cutting-edge research, offering tailored guidance and practical solutions for every stage of scientific work.
Support for science and innovation
The administrative departments of the DKFZ are an important part of the success of our scientists. The administrative staff work in specialized teams to ensure smooth and efficient support for research at the DKFZ. This involves creating new scope for creativity, taking financial and regulatory requirements into account and developing transparent processes and structures.
Our administrative departments
The Department of Administration Partnerships with University Medicine / External Sites acts as the central interface between the external structures of the DKFZ - including the six NCT and eight DKTK sites, the HI-TRON Mainz, the DKFZ-Hector Cancer Institute and the DKFZ site in Dresden - and the specialist departments at the DKFZ in Heidelberg. Each external structure has its own coordination and administrative office, which is also responsible for administrative matters and ensures a smooth exchange between the external structure and the DKFZ in Heidelberg. The department supports and coordinates the collaboration in order to ensure efficient networking and a seamless transfer of knowledge and resources.
The construction department at the DKFZ is responsible for the planning, implementation and supervision of construction projects. This includes the construction of new buildings, the renovation of existing structures and the coordination of conversions and extensions. It ensures that the structural conditions are optimally adapted to the requirements of modern cancer research and accompanies the projects from conception to completion, taking sustainability, efficiency and functionality into account.
The Procurement and Materials Management department ensures the supply of goods and services to all DKFZ departments through centralized and decentralized procurement channels. Using the e.biss ordering system, requisitioners can place direct orders quickly and flexibly, while the central procurement department provides advice and handles the awarding process. In addition, materials management manages the warehouse, distributes parcels and the catering team provides a varied range of meals at several locations.
The Finance Department of the DKFZ manages and controls the finances, which are mainly supported by federal and state grants and project funding. It performs tasks such as financial accounting, budget management and cost and performance accounting and prepares the annual financial statements. With analyses and strategic planning, the department ensures transparent and efficient financial management.
The Grants Office plays a central role in project funding at the DKFZ by informing scientists about funding opportunities, assisting with the application process and providing administrative support. It takes care of financing plans, project management, invoicing with funding bodies and contractual issues. In this way, project funding, which is acquired via state funding institutions, foundations or companies, supplements the program-oriented funding provided by the federal and state governments and enables the realization of projects that cannot be fully covered by budget funds.
The Infrastructure Projects and Space Management department is responsible for the accommodation and spatial equipment of all DKFZ units, plans the occupancy of new buildings and rental space and coordinates major conversion and infrastructure projects. It is also responsible for the administrative project management of the Strategic Alliance with Siemens and the National Center for Radiation Research in Oncology (NCRO/HIRO). With these tasks, the department creates optimal spatial and organizational conditions for work at the DKFZ.
The strategic goal of Innovation Management (IM) at the DKFZ is to transfer excellent research into first class applications to benefit patients and society. The IM team closely collaborates with our scientists, providing professional expertise and support in spin-off foundation, business development, market analysis, IP protection and technical contracts. To prevent, diagnose and treat cancer, we are building bridges between science and markets, driving technological innovation forward in a sustainable way.
The DKFZ Human Resources Department is a service-oriented point of contact for all employees and provides support with questions relating to the employment relationship and the organization of optimal working conditions. In addition to personnel services, business trips and international support services, it offers training and further education, career advice from the Career Service and health promotion with "DKFZ aktiv!". It also enables young people to enter the world of work through apprenticeships and dual study programmes and is a recognized place of assignment for the Federal Voluntary Service.
The DKFZ's legal department is the central point of contact for all legal issues outside the areas of personnel, procurement and technical infrastructure. It advises the Executive Board, negotiates national and international cooperation agreements and draws up and reviews contracts, in particular for clinical trials in accordance with the AMG and MPG. It also supports administrative departments, handles recourse and compensation cases and monitors the implementation of new legal developments at German and European level.
The Technical Infrastructure department plans, operates and develops the center's technical infrastructure. It assumes the role of building owner, looks after complex large-scale medical equipment and biomedical laboratories and ensures sustainable resource management. In addition, it organizes facility management services such as mail, security and cleaning and ensures optimal conditions for cutting-edge research with seven specialized working groups.
